How FreeScout works

FreeScout connects a shared mailbox to a browser-based help desk. Incoming messages become conversations that support agents can read, assign, reply to, tag, and move through a support workflow. Customers continue using email, while the team gains a central view of ownership and history instead of sharing one mailbox password.

The application is intentionally email-centred. Agents can collaborate around conversations, add internal notes, use saved replies, and see when work is assigned. Additional channels and customer-facing functions may depend on optional modules, so a deployment should be evaluated around the core mailbox workflow before promising a wider omnichannel setup.

Key FreeScout features

Multiple mailboxes can separate brands, departments, or support addresses. Agent assignments make responsibility visible, while status, tags, and search help a team return to open or historical requests. The conversation view keeps customer messages and internal collaboration in one place.

Saved replies reduce repeated typing for common questions, and notes let agents discuss a case without sending that text to the customer. Collision awareness can reduce duplicate responses when several people open the same conversation. These tools are most valuable when a support team shares clear rules for assignment and closure.

FreeScout vs Zendesk

FreeScout focuses on a self-hosted shared-inbox and help-desk workflow that a team manages on its own installation. Zendesk is a broader commercial customer-service platform spanning ticketing, messaging, voice, knowledge, analytics, and workforce-management functions.

Zendesk may suit organisations that want vendor support, enterprise administration, complex omnichannel operations, and a large integration marketplace. FreeScout is attractive when the core email-centred help-desk model is sufficient and the team prefers direct control of the hosted application.

Who uses FreeScout

Small hosting providers, online shops, agencies, software teams, and internal service desks use FreeScout to coordinate customer email. It works well where several agents answer one or more shared addresses and need ownership, notes, search, and a complete conversation trail.

It is less suitable when the required service model depends on advanced voice, workforce management, or a large prebuilt enterprise ecosystem. In those cases, the cost of assembling modules and integrations should be compared with a managed commercial suite.

Self-hosting FreeScout: requirements and cost

FreeScout resource use grows with retained conversations, attachments, search activity, and the number of agents using the interface together. The catalogue stack includes MariaDB for users, settings, mailbox state, and conversation records, while application files remain in persistent storage. The recommended plan accounts for both FreeScout and its MariaDB container.

AvaHost maps FreeScout to Plan 2 at €5. One-click deployment provisions the FreeScout core image and a MariaDB container, but the database remains unmanaged by AvaHost. This hosted service includes automatic application updates, scheduled backups, custom-domain support, and automated HTTPS. Application email delivery is disabled, and the default deployment excludes optional paid and community modules.

F.A.Q

  • FreeScout starts at €5 on Plan 2 with the core image and MariaDB container. The recommendation covers both the FreeScout core image and its database service. Automatic updates, scheduled backups, custom-domain support, and automated HTTPS are included. Application email delivery is disabled, and optional paid or community modules are not bundled.

  • The one-click stack provisions MariaDB and connects it to FreeScout automatically. Conversation records, users, settings, and mailbox state depend on that database. The MariaDB container is included but remains unmanaged by AvaHost, so administrators should treat database data and persistent application files as one service when reviewing changes or recovery needs.

  • The FreeScout web interface can use a custom support domain with automated HTTPS. AvaHost does not provide SMTP for this application, and application email delivery is disabled on the hosted service. The page therefore should not be treated as an outbound support-mail platform, even though the upstream software is designed around shared mailboxes.

  • The default deployment contains the FreeScout core image only. Optional paid modules and community add-ons are not bundled or enabled as part of the hosted application. Teams should evaluate the core workflow on its own and avoid assuming that extra channels, portals, or integrations shown in upstream documentation are available in the AvaHost deployment.
