Snipe-IT maintains records for assets such as laptops, servers, phones, tools, or other equipment. Each asset can carry a tag, serial number, model, status, purchase data, warranty details, location, and custom fields. Check-out assigns an item to a user or location, while check-in returns it to available inventory and preserves the history.

Separate record types cover software licences, accessories, consumables, and components. Users, departments, locations, manufacturers, suppliers, and models provide the reference data around those items. Reports and the audit trail help administrators understand custody, status, stock, expirations, and past changes.

Asset tags and supported barcodes help teams identify equipment during assignment or audit work. Status labels distinguish deployed, pending, archived, repair, or other lifecycle states, and custom fields capture organisation-specific details without changing the core record model.

Licence seats can be assigned to users or assets, while accessories, consumables, and components follow their own stock workflows. Role-based permissions limit access to administrative functions, and the REST API supports integrations with other internal systems.

Snipe-IT vs Asset Panda

Snipe-IT is a self-hosted IT asset-management application focused on inventory, assignments, licences, stock, reporting, and audit history. Asset Panda is a commercial provider-hosted asset platform with mobile applications, configurable forms and workflows, barcode scanning, reporting, integrations, and vendor support.

Asset Panda may suit organisations that want managed infrastructure, mobile-first field workflows, implementation assistance, and a commercial support relationship. Snipe-IT is more attractive when the team wants direct control of the inventory application and is prepared to operate its own hosted instance.

Who uses Snipe-IT

IT departments assign laptops and peripherals to staff, facilities teams track tools and shared equipment, and schools or nonprofits maintain inventories across locations. Software administrators use licence records to understand available seats, assignments, purchase data, and expiration dates.

The application depends on disciplined data entry and asset-tag practices. It does not physically locate an item or verify that a device is working, so audits and operational procedures remain necessary alongside the database.

Self-hosting Snipe-IT: requirements and cost

Resource use is driven by asset and user count, custom fields, attachments, reports, API traffic, audits, and concurrent administrators. MariaDB stores inventory, assignments, history, licences, users, and settings. AvaHost provisions MariaDB with Snipe-IT, but the database remains unmanaged. Application email delivery is disabled, so alerts, invitations, and emailed reports are unavailable.

Snipe-IT has no separate software charge for the hosted application, and the database-memory adjustment moves it to Plan 3 at €10. Snipe-IT hosting provides one-click setup, an inventory domain, automated HTTPS, automatic application updates, and scheduled backups. The setup wizard should be completed before staff receive access to the final inventory address.
