How DocuSeal works

DocuSeal turns an uploaded PDF into a reusable template by placing signature, initials, text, date, checkbox, file, and other fields onto document pages. Fields can be assigned to one or several submitter roles, and each signer completes the form through a mobile-friendly browser flow. Completed documents, submission status, template records, and application settings remain in the hosted data volume.

The community image uses SQLite by default unless a separate database URL is configured; the catalogue mounts /data and does not provision PostgreSQL or MariaDB. The first operator completes DocuSeal’s own account onboarding. Templates, recipients, shared links, API calls, webhooks, and signing order then need to be administered inside the application.

Key DocuSeal features

Automated email invitations and delivery of signed copies require SMTP in DocuSeal. Application email is disabled across the hosted service, so those messages cannot be promised here. Administrators can use signing links or no-send-email API workflows where appropriate, but the hosting service does not configure an outside mail provider or guarantee that every DocuSeal workflow remains useful without email.

DocuSeal adds an electronic signature to completed PDFs and offers verification and audit-related records, but legal effect depends on jurisdiction, identity evidence, consent, document type, configuration, and the organisation’s process. The hosted package is not legal advice, qualified-signature issuance, identity verification, records classification, or a compliance certification.

DocuSeal vs DocuSign

DocuSeal supplies self-hosted templates, form fields, submitter workflows, signing links, an API, webhooks, users, and local document storage. DocuSign is a commercial agreement platform with provider-managed signing, integrations, administrative controls, identity and authentication options, audit evidence, and enterprise workflow services.

DocuSign may suit organisations that require a managed vendor, broad integrations, formal enterprise controls, advanced identity products, support commitments, or a reviewed compliance programme. DocuSeal is attractive when a team wants to operate its own basic document filling and signing service, provided legal, identity, retention, email, and security requirements are assessed separately.

Who uses DocuSeal

Small organisations can prepare consent forms, acknowledgements, simple agreements, onboarding documents, internal approvals, or client questionnaires. Developers can connect templates and submissions through the API or embed approved signing links in an existing workflow after reviewing authentication and data handling.

DocuSeal should not be adopted as proof that every electronic signature is enforceable. High-risk contracts, regulated identity checks, qualified signatures, notarisation, long-term validation, payment collection, or statutory retention need a process reviewed for the relevant country and document category.

Self-hosting DocuSeal: requirements and cost

DocuSeal load is shaped by template count, PDF size, submission volume, simultaneous signers, field count, completed-document retention, API traffic, webhooks, and exports. PostgreSQL and MariaDB are Not required by the catalogue, which persists /data for the default local database and files. The software adds no separate application charge, while document retention can become the main storage concern.

On AvaHost, DocuSeal uses Plan 1 at €2. The hosted DocuSeal package includes one-click deployment, a custom domain with automated HTTPS, automatic application updates, and scheduled backups. Application email is disabled, so SMTP invitations, reminders, password recovery, and signed-copy delivery are unavailable. The package does not include identity verification, qualified signatures, legal advice, compliance certification, external storage accounts, payment services, SAML, SMS, or Pro features unless separately supplied and licensed.
