How Nextcloud works

Nextcloud stores files on the server and exposes them through a browser, desktop sync clients, mobile apps, and WebDAV. Users can keep selected folders synchronised across devices, share files or folders with other accounts, and create links for external recipients. The server tracks users, shares, metadata, and application state in PostgreSQL.

The platform can be extended with apps. Files, activity, and photos form part of the core experience, while applications such as Calendar, Contacts, and Talk add groupware and communication functions. Administrators decide which apps are enabled and which groups may use them, so two Nextcloud installations can have very different scope.

Key Nextcloud features

File sync keeps selected server folders aligned with computers and mobile devices. Sharing controls let users collaborate internally or send a link outside the organisation. Versioning, activity, and application features can add context around changes, depending on the enabled configuration.

Calendar and Contacts can synchronise through standard protocols, while other apps expand the workspace into communication or specialised collaboration. That flexibility is useful, but each extra app adds configuration, update, and compatibility considerations. A focused installation is often easier to operate than enabling every available extension.

Nextcloud vs Google Workspace

Nextcloud gives an organisation control over the hosted server, enabled applications, and stored files. Google Workspace is a vendor-operated cloud suite integrating Drive, Docs, Gmail, Calendar, Meet, Chat, and central administration. Both support collaboration, but they differ in infrastructure ownership and application ecosystem.

Google Workspace may suit organisations seeking mature browser collaboration, central administration, Google support options, and a fully managed cloud productivity suite. Nextcloud is more appropriate when self-hosting, data location, custom app selection, and integration with existing infrastructure are priorities.

Who uses Nextcloud

Small businesses use Nextcloud for shared folders, calendars, and contacts. Families can keep personal files and photos under one private account system, while schools, associations, and technical teams use it as a controlled collaboration hub. It also works as a private sync layer between several devices.

The application is less attractive when nobody can own user administration, storage growth, or client support. Large teams with heavy collaborative editing or complex compliance needs should validate the selected app set and operating process before migration.

Self-hosting Nextcloud: requirements and cost

Files are the main long-term capacity driver, while user count, previews, synchronisation, enabled apps, and background work affect processor and memory use. The catalogue stack includes PostgreSQL, a cache service, the web application, and scheduled background work, so the complete stack needs more headroom than the application-only RAM figure.

AvaHost maps Nextcloud to Plan 4 at €20 for the complete collaboration stack. The minimum plan supplies 100 GB for this storage-driven workspace. PostgreSQL is included with the stack but remains unmanaged by AvaHost. Nextcloud hosting includes one-click setup, automatic application updates, scheduled backups, custom-domain support, and automated HTTPS.

F.A.Q

  • The mapped minimum is Plan 4 at €20 for the complete Nextcloud stack. Plan 4 provides 100 GB for the complete catalogue stack. Files, previews, users, and enabled apps drive growth, so measure the migration set and leave operational headroom rather than planning to consume the full disk immediately.

  • Plan 4 provides 100 GB and is the mapped starting point for Nextcloud. Measure the files that will be migrated and estimate growth from sync clients, shared folders, photos, previews, and uploads. Larger workspaces should plan additional capacity before migration and keep independent copies of business-critical data outside the hosted application.

  • The catalogue stack provisions PostgreSQL and connects it to Nextcloud alongside caching and scheduled background work. Users, shares, metadata, app settings, and file records depend on the database. PostgreSQL is included but unmanaged by AvaHost, so stored files and database records should be treated as one system when planning changes or recovery.

  • A custom domain with automated HTTPS can give browser users, desktop clients, mobile apps, and WebDAV connections a consistent server address. Changing the address later means updating clients and integrations. Administrators should test file sync, sharing links, calendars, contacts, authentication, and enabled apps after the final domain becomes active.
