How Vikunja works
Vikunja stores tasks with due dates, priorities, labels, assignees, descriptions, attachments, reminders, relations, and other supported fields. The same tasks can appear through list, kanban, calendar, table, and Gantt-style views, letting users choose a planning surface without maintaining separate copies. Saved filters can combine status, dates, labels, people, and project context for recurring review.
Projects and sharing controls organise work for individuals or groups. Public links can expose selected views, CalDAV connects supported calendar or task clients, and documented importers can help migrate data from selected services. Each integration has its own compatibility and permission limits, so imported tasks, recurring rules, dates, attachments, and assignments should be reviewed after migration.

The free core application covers the principal task-management workflow. Vikunja also documents optional Pro capabilities such as an administration interface, time tracking, and audit logs. No Pro entitlement is bundled with the hosted plan, so copy and purchasing decisions should not assume those features are active without a separately supplied licence or upstream arrangement.
The catalogue uses Vikunja with SQLite files persisted under /db and uploaded files under /app/vikunja/files. Application email is disabled, which prevents mail-based password recovery, account confirmation, reminders, and other outbound messages from the hosted instance. Keep administrator access recoverable without relying on an application-generated email.

Vikunja is a self-hosted application with public links, CalDAV, and direct administrative control. Todoist is a provider-hosted service with official applications, managed synchronisation, integrations, templates, collaboration, and paid plan features.
Todoist may suit users who want maintained clients and a provider-managed account across many devices. Vikunja is more attractive when a group wants a self-hosted task system and is prepared to manage accounts, imports, sharing, optional Pro licensing, backups, and email limitations.
Who uses Vikunja
Individuals plan personal work, families share household tasks, community groups assign volunteer activities, and small teams manage lightweight projects. Calendar and board views make the same task set usable for people who prefer dates, columns, or structured lists.
Vikunja is less suitable as a replacement for payroll, enterprise portfolio management, regulated records approval, workforce surveillance, or a full issue tracker. Public links, imports, and shared projects should be reviewed for information that should remain restricted.

Review the current upstream edition terms before depending on a Pro-only workflow or presenting it to users as available.
Application email is disabled across hosted services, so Vikunja cannot send mail-based password recovery, account confirmation, reminders, or other outbound messages from this installation. Store administrator credentials securely, use supported non-email access methods, and avoid creating an account process whose recovery depends on a message from the application.
